Grade Report Layout

The grade report contains the same information as an official or unofficial transcript from the student’s campus. The content, layout and abbreviations used on the report are described below. If you have questions regarding the report, please contact the Office of Transfer and Articulation.

The top of the grade report includes the issuance information and the student identification information. Please note that NYS law restricts campuses from putting a social security number on these forms, and the institution’s identification is shown as a result.

Grade Report Header

The top of the grade report includes the student’s name, Identification information, and the current mailing address on record. It also includes who the report is issued to.

For academic information, this is where you will find the student’s current level program and school affiliation. This student is a New Paltz student, who is an Arts and Sciences undergraduate student pursuing a political science major.

Course Details

Each student semester will have a distinct set of courses and GPA calculations, as shown at right. The table includes headers at the top, which are abbreviated to conserve space. The headings are:

  • SUBJ
The subject code of discipline code for the course. For example HIS is the subject code for History.
  • NO.
This is the course number. Each course has a subject code and corresponding number. Across SUNY, 100-200 or 1000-2000 courses are generally considered lower division courses, and 300-400 or 3000-4000 are generally considered upper division courses.
  • COURSE TITLE
The descriptive name of the course. This generally describes the subject matter of the course succinctly.
  • CRED
These are the number of credits the student has earned in the course, when passed.
  • GRD
This is the course grade, usually a standard letter grade. Each grade has a set of quality points attached to it, which is used to calculate points earned and the GPA.
  • PTS
The number of points earned based on the grade, multipled by credit hours.
  • R
This notation is commonly found on most campus reports and signifies whether a course has been repeated. For comprehensive information regarding campus repeat policies, it is advisable to consult the campus catalog. Course repeats on transcripts are relatively uncommon.

GPA Details

The GPA information on the transcript is visible at two levels, the semester level and the overall institutional level. The abbreviations and headings are common to both levels.

  • Semester GPA
The semester GPA represents the grade point average for a given term or semester. This GPA is not cumulative, and only calculates credits and points in the given term. If a student has transferred a course to the institution in the term, it will be listed here, generally with credit hours, but no point or GPA impact.
  • Institutional GPA
This is the overall cumulative GPA for the student’s entire career at the institituion. It relflects all courses taken, including failed courses or courses that did not garner credit.

The following abbreviations are used in the GPA calculation fields and tables.

  • Earned Hours / EHrs
The credit hours a student has earned through coursework. Generally any repeated courses will not accrue hours, nor will failed courses.
  • GPA Hrs
The credit hours used to calculate the GPA. GPA calcualtions normally include only courses pursued at the institituion, and will not include transfer credits.
  • Points
Points are tied to the letter grade, and then multiplied by the grad point and the number of credits. For example, an A- carries 3.7 points. If a student pursues a 3-credit class and earns an A-, they will earn 11.1 points (3.7 * 3).
  • GPA
The GPA is the overall calculated GPA either for the term, or the institution overall, depending on where the calculation appears on the report.

GPA details include earned hours (credits) the hours used to calculate the GPA, points/quality points earned and the overall GPA. GPA is normally calculated by dividing the total quality points (QPA) by the number of hours attempted not earned. Any credits that do not garner hours, will appear with a 0.00 in the grade table.
